We are looking for a highly organised and detail-focused Soft Services Coordinator to support the delivery of compliant, efficient, and high-quality soft services within a pharmaceutical GMP environment. This role is essential in ensuring that operational activities, documentation, and service standards meet both regulatory requirements and Sodexo’s internal policies and values.
Working closely with Soft Services Leads, Duty Managers, and supplier partners, you will provide administrative oversight, coordination, and compliance support across a broad range of soft service functions. Your contribution will enable service managers to remain focused on operational performance, quality governance, and continuous improvement.
As a Soft Services Coordinator you'll:
Coordinate quotes, approvals, vendor documentation, and GMP work orders in line with governance and site procedures.
Maintain accurate GMP records and archiving to support audit readiness.
Support supplier coordination, scheduling, and monitoring of service performance.
Manage cleaning stock, uniform requests, and ad hoc housekeeping schedules.
Provide day-to-day administrative support and reporting to Service Managers.
Monitor CAPAs and deviations, ensuring effective tracking, closure, and reporting.
Support internal and external audits with compliant and up-to-date documentation.
Maintain accurate training compliance records and ensure data integrity across SAP, SMS, and other systems.
Track KPIs and SLAs, escalating issues and contributing to continuous improvement.
Communicate effectively with internal teams, service users, and suppliers.
Assist with procurement activities including purchase orders, invoices, and budget tracking.
Handle service-related queries professionally to maintain a positive customer experience.
What we're looking for:
- Essential
Experience in facilities management, soft services coordination, or quality/compliance administration.
Background in a busy client-facing or pharmaceutical/GMP-regulated environment.
Excellent organisational skills with strong attention to detail and documentation accuracy.
Ability to manage multiple priorities in a fast-paced, highly regulated setting.
Strong communication and collaboration skills.
Proficiency in SAP, SMS, and Microsoft Office (Excel, Word, PowerPoint).
Desirable
Understanding of GMP and quality management systems.
Experience in CAPA tracking and data reporting.
Experience coordinating supplier activities within governance frameworks.
