Job Introduction

  • To be responsible for the efficient service to both internal and external customers.
  • To answer all switchboard calls for the main site and support sites.
  • To control the critical site access control systems.
  • To assist with the building co ordination activities
  • To assist in client in all FM requirements and activities.

Main Responsibilities

  • To ensure all customers are delivered the highest quality of service through efficient management of the reception desk and continuous improvement to service delivery.
  • To answer all switchboard calls for the main site and support sites.
  • To create and process and deletion of all ID badges within the service standards documentation, delivering an efficient speed of service.
  • To maintain accurate records via clients systems for the site operation.
  • To follow the correct incident reporting procedures ensuring the correct documentation and process is followed at all times.
  • To review the CCTV footage on a daily basis and report any out of the norm incidents and follow through.
  • To provide security activities as and when required, including but not limited to: audits, restriction zones access, review and control access into building.
  • To interact with customers to gain feedback on the service provided and communicate your findings to senior management.
  • To assist in raising clients PO’s, reviewing utilities queries, ad hoc client requests as required.
  • To assist with the postal services for the building.
  • To liaise with remote security regarding all aspects of security and building lock and unlock.
  • To maintain excellent client and customer relationships.
  • To attend team briefings and work huddles as required
  • To provide stats on call volumes and customer/visitors on a weekly basis.
  • To maintain a clean and tidy reception at all times.
  • To report any customer complaints or compliments to a member of the management team.
  • To ensure your arrival on duty at the correct time and that your personal appearance is well groomed and meeting the company standards at all times. Ensure that you wear the correctuniform provided and that it is clean and well maintained.
  • Ensure the safety and security of company and client property and money.
  • To assist with the control of any SOP’s and site processed
  • Report any incidents of accident, fire, theft, loss, damage, near misses, hazards and any other irregularities.
  • To attend meetings and training courses as may be necessary from time to time.
  • To ensure all faults are logged with the help desk in a timely manner.
  • When a visitor is leaving you may be required to order a taxi.

The Ideal Candidate

Essential

  • Excellent communication skills.
  • SIA/CCTV licensed.
  • Experience working in a standards /compliance environment.
  • Good knowledge of health & safety.
  • Organised and tidy.
  • Ability to use own initiative.
  • Flexible approach to work.
  • High standard of personal hygiene and appearance.

Desirable

  • Previous experience.
  • Proven track record of employment within administration
